QuickBooks® Online Integration
Energy Connect pushes invoices, delivered orders and their delivery documents into QuickBooks Online, and reads back whether each invoice has been sent, so the load record and the books agree without anyone retyping either one.
The connection is made by signing in to QuickBooks from Energy Connect's integration settings. Everything below happens on that connected company file.
What moves, and when
| Record | Direction | What happens |
|---|---|---|
| Invoice | Energy Connect → QuickBooks | Created or updated as a QuickBooks Invoice. It is not emailed from QuickBooks for you; sending stays your decision. |
| Delivered order | Energy Connect → QuickBooks | Once delivery is submitted, the order is created as an Estimate, using delivered quantities where they were recorded. |
| BOL, delivery ticket, proof of delivery | Energy Connect → QuickBooks | The original files (PDF, JPEG or PNG) are attached to the matching Estimate or Invoice. |
| Invoice send status | QuickBooks → Energy Connect | When an invoice Energy Connect pushed is sent from QuickBooks, Energy Connect records it as sent. |
| Customer list | QuickBooks → Energy Connect | An on-demand import of your QuickBooks customers, confirmed per connection before anything is written. |
| Item prices (opt-in) | QuickBooks → Energy Connect | Off unless you turn it on. When on, QuickBooks item prices update products that already exist in Energy Connect; unknown items are skipped. |
What it protects
- A sent invoice is never rewritten. If your customer already has an invoice from QuickBooks, Energy Connect will not change it underneath them.
- An Estimate is created once. Later pushes find the existing Estimate rather than replacing its lines, so pricing edits made in QuickBooks are kept.
- Send status is read only for invoices Energy Connect pushed. Invoices you create directly in QuickBooks are left alone.
What it does not do yet
- Payment write-back is not available yet. A payment collected in Energy Connect is not recorded against the QuickBooks invoice.
- Orders go in as Estimates, not Sales Orders. The QuickBooks Online REST accounting API this integration uses has no Sales Order record, so an Estimate is used; like a Sales Order it posts nothing to the ledger and converts to an Invoice.
- Orders are not imported from QuickBooks. Orders start in Energy Connect and flow out.
